Go to Subscription & Usage and click "Download a copy of all your data." You'll get a single JSON file containing all your account data — profile, projects, meetings, transcripts (with speaker labels), AI summaries, action items, decisions, risks, usage history, and subscription and billing history. Your raw recording audio is included as secure download links that stay valid for 7 days. This gives you a full, portable copy of your data at any time.

Create one project per actual work project, client, or ongoing initiative. Use descriptive names. Archive completed projects to keep your workspace clean. Each project can contain multiple meetings over time.

For best AI results: have someone summarize key points periodically, clearly state action items and who they're assigned to, announce decisions explicitly, and keep discussions focused. Clear structure helps the AI extract better content.

Always! AI extraction is helpful but not perfect. Review all generated action items, decisions, and risks before sharing or acting on them. The review workflow helps you systematically check each item.

We support MP3, WAV, M4A, WebM, OGG, and FLAC files up to 25MB. For best results, use clear audio with minimal background noise.

No. Live recording works directly in your browser using the Web Audio API. Chrome or Edge is recommended for best compatibility. No plugins or extensions required.

You can regenerate meeting minutes up to 3 times per meeting. After that, you can manually edit the content. This limit helps ensure fair resource usage across all users.

The AI indicates its confidence (High/Medium/Low) for each generated section. High confidence means the AI is certain about the extraction. Lower confidence means you should review more carefully as the content may need verification or editing.

Mark individual items (action items, decisions, risks) as "reviewed" using the checkbox. Once all items are reviewed, you can confirm the meeting. Confirmed meetings are included in Project Chat queries and analytics.

Yes! The AI automatically detects related items across meetings and creates links. You can see the link badge on related items and click to navigate between them. This helps track ongoing tasks across multiple meetings.

Registers show detailed item lists (action items, decisions, risks) with full editing capabilities. Reports show aggregated analytics and summaries for a date range, useful for stakeholder reporting and project status updates.

Project Chat lets you ask questions about your confirmed meetings using AI. You can ask things like "What decisions were made last month?" or "What are the open action items for John?". Only confirmed meeting content is searchable.

Yes. Your data is encrypted and only accessible to you. We use industry-standard encryption for data at rest and in transit. Your meeting recordings, transcripts, and generated content are private to your account.

Only you can see your own projects and meetings. Each user's data is completely isolated. Project collaborators (if enabled in the future) will only see shared content you explicitly grant access to.

Your data is stored for as long as your account is active. You can delete individual projects, meetings, or your entire account at any time. When you delete data, it is permanently removed from our systems.

No! The free plan requires no credit card. Just sign up and start using MeetingVault immediately. You can upgrade to a paid plan anytime if you need more features.

When you reach your daily limits, you'll need to wait until the next day (limits reset at midnight UTC) or upgrade your plan for higher limits. We'll notify you when you're approaching your limits.

Yes, you can cancel your subscription at any time. You'll continue to have access to paid features until the end of your billing period. After that, your account will revert to the free plan.

If a recording fails mid-session, check your browser's downloads folder - partial recordings are often saved automatically. If you still have the audio file, you can upload it again for processing.
